The Administrative Assistant to the CEO provides high-level administrative, organizational, and technical support to ensure the efficient operation of the CEO’s office. The role requires strong coordination, communication, and analytical skills, with the ability to handle confidential information and support executive decision-making processes.

Key Responsibilities

  • Executive Support
    • Manage the CEO’s calendar, schedule meetings, appointments, and travel arrangements.
    • Prepare and organize documents, reports, presentations, and correspondence for executive use.
    • Act as the first point of contact between the CEO and internal/external stakeholders.
  • Administrative Coordination
    • Organize meetings, including preparing agendas, taking minutes, and following up on action points.
    • Maintain accurate records, files, and documentation systems (both digital and physical).
    • Coordinate communication across departments on behalf of the CEO.
  • Technical & Analytical Support
    • Utilize scientific and analytical knowledge to support projects related to laboratory, health, or research-based operations.
    • Assist in reviewing technical reports, data summaries, and project documentation.
    • Support the CEO in monitoring organizational performance metrics and reports.
  • Confidentiality & Compliance
    • Handle sensitive information with the highest level of confidentiality and professionalism.
    • Ensure compliance with organizational policies and regulatory requirements.
  • Office Management
    • Ensure smooth day-to-day operations of the executive office.
    • Coordinate logistics for meetings, events, and official visits.

Qualifications and Documents Requirements

  • Education: Bachelor’s Degree in Biomedical Laboratory Science (mandatory).
  • Experience: Minimum of 1 year of relevant work experience in administrative support preferably in a healthcare, laboratory, or scientific environment.
  • Valid copy of license from Rwanda allied professional council.

  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.

  • Ability to multitask and work under pressure with minimal supervision.
  • Analytical thinking with attention to detail.
  • Knowledge of laboratory procedures and scientific documentation is an added advantage.
