Job Title

Financial and Administrative Officer (AD10)

Key Responsibilities

  • 1. Financial Management and Reporting
    • Assist with the preparation and monitoring of the WRAF budget
    • Prepare financial reports (monthly, quarterly, and annual)
    • Manage petty cash and ensure accurate record-keeping
    • Oversee vehicle expense accounts (fleet management)
    • Process journals and Internal Requisitions (IR)
    • Handle e-claims and payment requests
    • Support accounts receivable and accounts payable functions
    • Maintain the fixed assets register (CAPEX)
    • Facilitate supplier onboarding processes
    • Perform general ledger reconciliations and updates
    • Support procurement processes, including i-Procurement (i-Proc)
  • 2. Administrative and Secretarial Support
    • Provide administrative and secretarial support to the WRAF Director
    • Coordinate and record equipment maintenance and service agreements
    • Manage WRAF IT systems, including the Gold system
    • Prepare, type, scan, and file documentation
    • Maintain an efficient filing system (electronic and hard copy)
    • Administer WRAF telephone accounts and related staff payments
    • Attend University finance meetings and provide feedback reports
    • Participate in WRAF operational meetings
    • Take minutes and prepare accurate meeting reports
  • 3. Advisory and Stakeholder Support
    • Provide financial advice to the WRAF Director on budget and expenditure matters
    • Support project-related financial administration and reporting

Minimum Requirements

  • National Diploma in Accounting or Bookkeeping
  • At least 3 years’ experience in financial operations
  • Advanced computer literacy (MS Office and financial systems)
  • Experience in procurement processes
  • Working knowledge of BIS and Oracle systems
  • Strong analytical and problem-solving skills

Preferences

  • Experience in budgeting and financial monitoring
  • Knowledge of project financial administration
  • Exposure to higher education or similar institutional environments
  • Strong attention to detail and organisational skills
  • Ability to work independently and manage multiple priorities
